Timeline Road Map
Many things are happening to make sure Highline is prepared to go live with ctcLink on February 8. Below you’ll see key milestones and deadlines, indicating the dates to complete specific activities in our legacy software systems (e.g., FMS, PPMS, SMS). If you have questions, email Delta Dog.
Training must be completed. See Training for ctcLink.
Last day to enter new jobs and complete new employee onboarding.
Begin entering new employees and new jobs into ctcLink.
JANUARY 20-FEBRUARY 8
Last day to make P-card purchases.
Last day to submit travel expense reports.
Last day for Purchasing dept. to receive approved requisitions.
Last day to submit Invoice Attached, Check Enclosed, and A19 documents. Payments for documents after 1/20/21 will be processed after 2/8/21.
JANUARY 25-FEBRUARY 4
Closing the Books
Last day to register and pay for classes, submit payments for fees and process any other customer transactions. Transactions must be completed by 11:59 p.m.
Last day to apply for admission. New applications will be processed in ctclink starting 2/22/21.
Clean up of Enrollment Services transactions.
Finalize Financial Aid and Cashiering transactions.
Last day for approved grade changes to be applied. Grade changes after 1/27/21 will be made in ctcLink beginning 2/12/21.
Last day to post fall graduation information. Updates after 1/27/21 will be made in ctcLink beginning 2/22/21.
Payroll due, submitted and approved by supervisors. Hard deadline; no paycheck adjustments until after Go-Live.
Last day to request an official transcript.
Legacy environment shut down at noon and set to read-only environment.
Live on ctcLink PeopleSoft
Services for student transactions are limited.
Help employees activate their accounts and verify personal information.
Designated employees reconcile and validate converted transactions and data.
Enter transactions that were tracked manually 1/27/21-2/22/21.
Begin processing new purchases through ctcLink.
FEBRUARY 25-March 8
Student Registration in ctcLink
Current student registration begins.
Spring registration open for new students.
College Go/No-Go recommendation.
State Board will conduct Dry Run of migration to ctcLink PeopleSoft.
Steering Committee Go/No-Go decision.

Student Transition Planning
Last day for financial aid disbursements.
No financial aid disbursements.
Last day for winter quarter class changes.
No winter quarter class changes.
40% refund date.
JANUARY 27-FEBRUARY 4
Manual tracking of business processes where necessary.
Dry Run data validation.
Last day for faculty to access class rosters in Instructor Briefcase.
Last day for staff to finalize legacy transactions.
Legacy system unavailable.
Offices closed for furlough day. Classes are in session.
Go-Live validation by project team: 1-5 p.m. (approx.).
Bring Students Online
Verify student groups and assign to appointment schedules.
Term activate all students.
Begin helping students activate their accounts in ctcLink and prepare for spring quarter registration.
Timesheets in ctcLink
All part-time hourly and student employees will begin submitting electronic timesheets through ctcLink Employee Self-Service.
All employees will begin submitting electronic absence (leave) requests through ctcLink Employee Self-Service.
College closed for Presidents Day.
