Financial Aid Office “Enrollment Snapshot/Census Date” Policy

Effective Spring Quarter, 2008

Friday, April 4th

This policy applies to students who are receiving grants (Pell, SEOG, SNG, and/or HCC Grant) and who make changes to their enrollment level after receiving a disbursement of aid.  Enrollment levels for these students will be checked at 5:00 pm on the 5th day of the quarter to determine if grant aid needs to be adjusted upwards or downwards.  This date and time is called the financial aid “enrollment snapshot/census date.” 

 

There are 4 enrollment levels: 

·         Full-time (12 or more credits)

·         ¾-time (9 -11 credits)

·         ½-time (6 – 8 credits)

·         Less than ½-time (1-5 credits)

Students who make changes to their enrollment level by 5:00 pm on the 5th day of the quarter (the enrollment snapshot/census date) will have their grant aid adjusted upwards and downwards, as appropriate, to ensure that the amount of the grant aid matches the enrollment level.  Changes made to enrollment level after the enrollment snapshot/census date will not result in any changes to financial aid grant amounts.

 

What does this mean for you? 

 

If you increase or decrease your enrollment level through the enrollment snapshot/census date, your grants will be adjusted, as appropriate, to ensure that they are the appropriate amount given your enrollment level.  If aid is decreased after financial aid grants applied toward your tuition and fee charges, some of the aid that paid charges may have to be returned to the Financial Aid Office, which will result in a balance owing at the Cashier’s Office. 

 

If you increase your enrollment level after the enrollment snapshot/census date, your aid will not be increased.  This means, for example, that a student who is enrolled in 10 credits as of the enrollment snapshot/census date, and who later adds a 2 credit class, will not have his/her aid adjusted upward to the full-time level.  Rather, the aid will remain at the ¾-time level, and for Satisfactory Academic Progress purposes, the student will be held accountable for completing a ¾-time course load.  Please be aware that being on a wait list for a class is not the same as being enrolled in a class.  Students waitlisted for a class should attend the first class and have their instructor sign an add/drop form to admit them into the course.  Add/drop forms are available from the Registration Office and must be submitted back to their office by the 5th day of the quarter.

 

If you decrease your enrollment level after the enrollment snapshot/census date, your aid will not be reduced.  This means, for example, that a student who is enrolled in 15 credits as of the enrollment snapshot/census date, and who later drops a 5 credit class, will not have his/her aid reduced to the ¾-time level.  Rather, the aid will remain at the full-time level and for Satisfactory Academic Progress purposes, the student will be held accountable for completing a full-time course load.

 

Financial aid regulations do not allow schools to make exceptions to their  “enrollment snapshot/census date” policy, regardless of a student’s circumstances.
