DESCRIPTION:
Under general direction, the Program Assistant performs a variety of clerical
duties, projects and assignments in support of the Community Education
Department. This position will compile and distribute information relative to
the Community Education Program including any courses or events. This position
reports to the Community Education Program Manager.

DUTIES:
• Represent HCC Community Education at funding agencies,
community events, and meetings
• Assist students with navigating fund sources/agencies’
requirements
• Promote HCC Community Education to campus community as an avenue
to explore new programs
• Prepare marketing materials to promote Community Education
• Coordinate campus and community entities to deliver successful
programs
• Assist Program Manager with Researching for new grant
opportunities for HCC
• Maintain and update 3 grant databases; Enter data for grant
information to track progress for multiple grants and prepare
reports as needed
• Communicate with students, instructors and case managers regarding
different course information
• Establish and maintain electronic and manual file systems
• Provide invoicing support
• Attend and participate in staff meetings
• Other duties as assigned to support students, staff and program
operations
MINIMUM QUALIFICATIONS/COMPETENCIES:
• High School graduation and (2) two years of increasingly responsible
clerical experience or equivalent education/experience
• Excellent written and spoken communication skills
• One year of customer service, receptionist, or related public-contact
experience
• Proficiency in office software tools: word processing, electronic calendar,
and email such as Outlook, spreadsheet and database such as Excel and Access
• Detail oriented with exceptional organizational skills
• Sensitive to and respectful of diverse populations
• Able to physically deliver materials campus wide
DESIRED QUALIFICATIONS
• General understanding of college programs and student registration process
• Experience with grant tracking and reporting
