A key goal of EAPAS is to “Strengthen the quality of communication between supervisors and employees.” EAPAS is designed to promote and provide structure to conversations between you, your supervisors, and your supervisor’s supervisor (the next-level administrator). It will help you and your supervisor understand all the different things you do in your job, and give you both a tool for recognizing and prioritizing that work. Each member of this group has an important role to play, and these roles are described below. Remember, if you are a supervisor, you will actually play multiple roles: first as the supervisor for your employees, and then as an employee when developing your own EAPAS. ROLE OF THE EMPLOYEE The system is driven by you, the employee being evaluated. As exempt employees, we work at a higher level of independence and responsibility. It is different from a typical employee/supervisor relationship: we often know more about our jobs than our supervisors do, we are more independently responsible for the outcome of that work, and we are responding to broadly stated goals instead of specific tasks or directions. It is up to us to define how we can achieve success, so we need to have the greatest input on our evaluation. This means that you’ll be the one notified that your EAPAS is due, you’ll set up the appointments to meet with your supervisor, and you’ll be collecting information and filling out the EAPAS forms. You’ll be responsible for doing the first drafts of the forms, and for making sure each step is completed. The instructions for each form will describe the steps you need to take. ROLE OF THE SUPERVISOR Although the system is driven primarily by the employee being evaluated, the focus of EAPAS is on the conversation between the employee and their immediate supervisor. It is your responsibility to assist your employee so that they can effectively complete the four parts of EAPAS. This may involve several meetings and conversations, and willl include providing the employee with a clear sense of your department’s goals, responding to their EAPAS documents in a prompt and constructive manner, and effectively communicating that employee’s thoughts to your supervisor (the employee’s next-level administrator). Most importantly, the results of your employee’s EAPAS must meet the needs of the institution. EAPAS is designed to align the goals of the employees with the goals of the institution: to help them “achieve personal excellence and contribute to Highline’s institutional excellence.” As the supervisor, you are responsible for making sure that your employee’s job description, goals, and professional development activities meet your department’s needs and goals, and contribute to Highline’s institutional excellence. ROLE OF THE NEXT LEVEL ADMINISTRATOR EAPAS is driven by the employee, and focuses on the conversation between the employee and their immediate supervisor. As the next level administrator, however, you have both responsibility toward and input into the final product. It’s important that your employees who supervise others have clear knowledge of your expectations, and of the goals for your area of responsibility. This is the most important opportunity for your input into the process, as it helps the employee define their goals around the needs of the college. The EAPAS development committee recommends that entire chains of command complete the process at the same time, as it helps promote conversation throughout the entire business unit. It’s also your job to provide clear and prompt feedback to supervisors when they forward you their employee’s EAPAS documents. You are responsible for making sure that the job descriptions, goals and development initiatives support the goals for your area and the college’s goals. You are also responsible for making sure that the group as a whole will effectively meet those goals.
