Separation Procedures

PROCEDURES

  1. The employee notifies his/her supervisor in writing of intent to separate.
  2. The supervisor forwards a copy of resignation to Human Resources (HR).
  3. HR validates the information and initiates the return of college property and the solicitation of exit information.

THE RETURN OF COLLEGE PROPERTY

All property belonging to Highline must be returned before the employee’s last day of employment. HR initiates this process by electronically sending a separation clearance form for signature to the following departments:

Administrative Technology (AT) checks for outstanding technological equipment such as laptops, PDA’s etc.

Security checks for outstanding keys, parking permits, etc.

Office of the Vice President for Administration checks for outstanding scan cards, keys to the Omni bldg, etc.

Office of the Financial Services checks for procurement and travel cards.

Instructional Resources checks for outstanding library materials, media equipment, etc.

If a signature is missing from any department, this is the signal that the employee must physically clear his or her record with that department to prevent collection action.

Once the employee returns all college property and collects all signatures, the form is returned to Human Resources for final processing.

In the event the employee leaves the College without returning signed form to HR, the form will be rerouted in two weeks to the departments that did not clear the employee previously. If at that time, there is still outstanding property, a second notice is sent to the employee.

If the employee does not respond to the second notice based upon the second routing results, the case will be brought to the Security department’s attention.

EXIT INTERVIEW

HR also sends the separating employee a questionnaire and a request for an exit interview. The questionnaire is designed to elicit information about the departing employees experience at Highline Community College. If the employee chooses to complete the questionnaire, specific responses will not be shared with the immediate supervisor; however, they will be summarized and reported to administration in order to help improve the quality of work life at Highline.

Additionally, the employee is encouraged to meet with the Executive Director of Human Resources or the Human Resource Manager to personally discuss any positive or negative issues that may have arisen during the separating employee’s tenure.
